JOB POSTING: YOUTHEATRE OUTREACH AND ADMINISTRATIVE ASSISTANT

Application deadline: August 31, 2022 Start date: September 1, 2022, at Youtheatre’s office in Montréal Position: Part-Time (up to 20hrs/week) Compensation: $20 per hour

Youtheatre, Quebec’s oldest professional theatre company for young audiences, is accepting applications for an Outreach and Administrative Assistant. Reporting to the General Manager, and working closely with the Co-Artistic Directors in a highly collaborative environment, the suitable candidate will assist with sales, marketing and promotion, rehearsal hall rentals and a myriad of administrative duties. The Outreach and Administrative Assistant position is a part time contract position paid hourly for up to 20 hours per week.

Youtheatre is a vibrant company focusing on both digital and live stage new creations for children (6-12) and teens (13-19). Our interdisciplinary work aims to push boundaries on theatrical convention and often integrates new technologies. Primary Responsibilities at Varying Times Throughout Season:

MARKETING & PROMOTION - 65%

  • Create and distribute all marketing material, including direct marketing, newsletters, social media, press releases and media kits

  • Update website and social media

  • Register and represent Youtheatre at conferences and community events such as QPAT, RIDEAU, CINARS and ROSEQ

  • Maintain Youtheatre’s profile with various industry partners such as ELAN, QDF etc.

  • Oversee and maintain all databases and contact management systems

SALES - 15% (Current Season with Presenters only)

  • Primary point of contact in identifying and maintaining relationships with schools, the education sector, community partners and organizations.

  • Sales, coordination and scheduling of all productions (both in-school and venue tours)

  • Prepare contracts/invoices; follow up and process payments

  • Maintain regular contact with schools as needed to ensure a positive experience including resolving logistics such as parking, on-site dressing rooms, lunch area and dressing rooms for performers, etc.

  • Accompany productions on tour to act as on-site ambassador when needed

  • Reserve and manage bussing contracts for schools when relevant

  • Create or update study guides, tool kits and workshop material related to productions


REHEARSAL HALL RENTALS - 10%

  • Manage rehearsal hall and equipment rental calendar

  • Execute rental contracts and collect payment from rentals

  • Keep organized records of contracts and payments

  • Insure rental hall and equipment are returned to original state after each rental

ADDITIONAL SUPPORT DUTIES - 10%

  • With guidance from the General Manager, prepare grant applications and file reports as needed

  • Facilitate panel discussions through new YouShare/YouCreate program as needed and/or moderate talk backs with creative teams and students after shows

  • Coordinate auditions including posting calls in the community and scheduling performers

  • Book all travel for artists and staff as needed

  • Assist Co-Executive Directors and/or General Manager as needed


Qualifications & Qualities:

  • Experience in sales, or customer service is an asset

  • Interest in/experience with working within education, with children and/or teens is an asset

  • Knowledge of/passion for theatre

  • Familiarity with GSuite programs, Canva (or other graphic design software), social media platforms, Hubspot (or other database), and Mailchimp (or other email marketing software)

  • Excellent knowledge of English. French required. Bilingual an asset.

  • Strong communication skills (written and spoken)

  • Flexibility to work autonomously and in a team environment

  • Facility with leading workshops and moderating group and panel discussions

  • Personable and outgoing personality is an asset!


Youtheatre is located at 5333 Casgrain, Suite 507 in the Mile End (Metro Laurier). Interviews will be conducted in person and over Zoom.
